A small hotel, café or wellness studio should automate the tasks that lose bookings when they're done late first: instant replies to enquiries, booking confirmations and reminders, and Google review requests and replies. These run dozens of times a week, follow the same pattern every time, and make or lose money within hours. Leave creative work, complaints and the personal welcome in human hands, and automate the repetitive work around them.
Why does the order matter?
The order matters because most small venues have limited time and patience for new systems. If the first thing you automate is something nobody notices, like a fancy internal dashboard, the project stalls. If it's something that wins a booking in week one, it pays for the next step.
A useful test for any task is three questions:
- How often does it happen? Daily or weekly tasks beat yearly ones.
- Does doing it late cost money? A reply to an enquiry two hours late often loses the booking. A late social post loses almost nothing.
- Is it the same every time? Confirmations and reminders are. A refund dispute isn't.
What should you automate first?
Start with replies to enquiries. Guests who message a hotel, café or studio usually ask the same 20 questions: prices, availability, parking, opening hours, dietary options, whether a beginner can join the class. An AI assistant on your website, WhatsApp and Instagram can answer these in seconds, at any hour and in the guest's language, then hand the conversation to you when a real decision is needed.
This comes first because speed wins bookings. Guests often message three or four places at once and book with whoever answers clearly first. We covered the numbers in our article on how fast to reply to booking enquiries.
What comes second and third?
Second, automate booking confirmations, reminders and pre-arrival messages. A confirmation sent instantly, a reminder 24-48 hours before and a short "how to find us" message cut no-shows and reduce "where are you?" phone calls. Most booking systems can already do this, but many venues never switch it on.
Third, automate review requests and review replies. A polite request sent a few hours after checkout or a treatment brings in far more Google reviews than asking at the till. Replying to every review, quickly and in a consistent tone, helps your Google Maps visibility and shows future guests that someone is listening. Negative reviews should still get a human check before a reply goes out.
What can wait until later?
Social posting, ad management, newsletters and monthly reporting are worth automating, but after the basics. They matter, but a day's delay rarely costs a booking. Once enquiries, bookings and reviews run smoothly, these are the natural next steps, and they work better because the earlier steps feed them with reviews, guest questions and booking data.
| Task | How often | Cost of doing it late | Automate when |
|---|---|---|---|
| Replies to enquiries (web, WhatsApp, Instagram) | Daily | High: guests book elsewhere | First |
| Booking confirmations and reminders | Daily | High: no-shows and empty slots | First or second |
| Review requests and replies | Weekly | Medium: weaker Google ranking | Second or third |
| Social media posts | Weekly | Low | After the basics |
| Ads (Meta and Google) | Ongoing | Medium if budget is wasted | After the basics |
| Monthly owner report | Monthly | Low, but you lose sight of results | After the basics |
| Complaints and refunds | Occasional | High if handled badly | Keep human, with AI drafting help |
What should you never fully automate?
Never fully automate complaints, refunds, special requests and the welcome itself. A guest with a problem wants a person, and AI should only draft a reply for you to edit. The same goes for anything involving judgement about money or safety. Automation should free you to spend more time with guests, not put a wall between you and them.
Real example: a 12-room guesthouse
Take a 12-room guesthouse where the owner answers every message personally, usually in the evening. Enquiries sent at lunchtime wait six or seven hours, and some of those guests have already booked through an OTA by then. The guesthouse adds an AI assistant to its website and WhatsApp that answers availability, pricing and local questions instantly and passes booking requests to the owner with all the details. Next, it switches on automatic confirmations and a review request the day after checkout.
Within a couple of months, the owner spends far less time on repeat questions, more enquiries turn into direct bookings, and new Google reviews arrive every week instead of every month. Results like this are what our case studies are built on.
How do you get started without a big project?
Start small and measure. Write down the 20 questions guests ask most, along with your answers. Check which automations your booking system already includes and switch them on. Then add an AI assistant trained on your own answers, and review its conversations every week for the first month. If you don't have time to run this yourself, this is exactly the gap that marketing without a marketing person is meant to fill.
FAQ
Will automated replies feel robotic to guests? Not if they're written in your voice and only answer what they can answer well. Good assistants use your own wording, say clearly when a person will follow up, and pass anything unusual to you.
Do I need a new booking system to automate? Usually not. Most modern booking, reservation and POS systems already send confirmations and reminders. An AI assistant and review requests can work alongside the system you already use.
How long does it take to see results? Faster replies usually show up in more bookings within the first few weeks. Review volume and Google Maps visibility build over two to three months as reviews add up.
What if the AI gives a wrong answer? Give it only approved information, review its conversations regularly, and set it to hand over whenever it isn't sure. Wrong answers usually come from missing information, which you fix once and it stays fixed.
